Job Summary:

The VP, Client Accounting & Project Director will oversee and manage all daily, monthly, quarterly and fiscal year financial activities within the Client Accounting Department. Their role will also encompass Project Management responsibilities focusing on the automation and development of new financial reporting capabilities, the transition to new accounting programs, and AI as it relates to public service advertising produced by The Ad Council.

The compensation for this position is within the range of $165,000 - $180,000 annually (based on experience level). The compensation package also includes an annual incentive, comprehensive benefit offerings, and generous paid time off.

What you'll do:

Assume all financial responsibility for public service campaigns from the inception of campaign through the close out at the end of the campaign. Partner with the Controller and IT department to seek areas of automation and build efficiencies in current processes along with a transition of the GL system to the cloud. Responsibilities include but are not limited to:

  • Supervise three full-time employees: Director Government Campaigns & Billings, Campaign Biller, and Accounts Payable Specialist.
  • Develop reporting and metrics for direct reports, overall departmental process and continual improvement and automation.
  • Partner with Controller and IT Department to transition client billing and accounting processes to Microsoft Dynamics 365 Business Central.
  • Work with Controller, to develop training material and training session for end-users to familiarize them with any new features and workflows in upgraded Dynamics 365 System.
  • Run, audit and issue the annual 1099's for the organization.
  • Review and monitor campaign contracts with sponsors.
  • Review periodic reporting required for government contractors, program reports, small business utilization, etc.
  • Review and monitor monthly campaign billings, campaign budgets, campaign related accounts payables and campaign related accounts receivables.
  • Responsible for creation of all vendors into SL general ledger system. Verify that vendor is not debarred and periodic reporting on small business classifications.
  • Enter new project codes into SL after verifying proper paperwork is completed.
  • Maintain all projects coded are up to date and disable code unused on a timely basis.
  • Interact and partner cross-functionally with Ad Council departments to ensure the timely processing and payment of third-party invoices and campaign billing to our sponsors.
  • Oversee the onboarding new employees involved in Campaign production and distribution on the accounts payable and billing process.
  • Provide timely and accurate information to the finance staff for the monthly financial statements.
  • Monthly reconciliations including, but not limited to, WIP, revenue, direct cost, sponsor advances, deferred income, prepaid media and restricted contributions.
  • Prepare and distribute campaign margin reports.
  • Review and monitor Labor Recovery Fees, Service Center Fees and Platform Fees.
  • Review close-outs of campaign paperwork for both private and government campaigns.
  • Review the statutory reporting to various government agencies in compliance with client contracts.
  • Supervise file retention for client billings, vendor invoices, accounting reports, audit materials, etc.
  • Ensure proper documentation for all bid certifications per internal policy and government procurement requirements.
  • Participate in all annual financial audits and any other reviews as required, providing all requested information on a timely and accurate basis.
  • Perform other requested special projects that are necessary to satisfy the requirements of clients and internal finance and campaign teams.

What you bring:

  • Bachelor's Degree in Accounting or Finance
  • 7+ years accounting/finance/business experience in advertising agency (or similar company)
  • Experienced people manager with a successful track record of developing and managing team members.
  • Strong budgeting, forecasting and analytical skills - can analyze quantitative and qualitative data and draw logical conclusions.
  • Experience with Microsoft SL and Microsoft 365 Business Central required.
  • Skilled in developing report writing within software applications.
  • Proficient in Excel and Word a must.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Team player.
  • Self-motivated and goal oriented.
